Job Summary
We are seeking a dynamic and organized Secretary/Receptionist to be the welcoming face and administrative backbone of our office. This vital role involves managing front desk operations, providing exceptional customer support, and ensuring smooth office management. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills to create a positive first impression and support daily administrative functions efficiently. Duties

  • Greet visitors, clients, and staff with professionalism and warmth, creating a friendly and welcoming atmosphere
  • Manage multi-line phone systems, answer inquiries promptly, and direct calls accurately using proper phone etiquette
  • Schedule appointments, coordinate calendar management, and handle incoming correspondence with precision
  • Maintain organized filing systems, perform data entry tasks, and ensure accurate record-keeping using digital tools like Google Workspace and Microsoft Office
  • Assist with office management tasks such as supply inventory, document proofreading, and general clerical duties including filing and photocopying
  • Support bookkeeping activities using QuickBooks or similar accounting software for billing and expense tracking
  • Provide customer support through effective communication, addressing inquiries efficiently both in person and via phone or email

Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with multi-line phone systems and excellent phone etiquette skills
  • Bilingual abilities are highly desirable to serve diverse clientele effectively
  • Familiarity with office management procedures such as filing, data entry, proofreading, and calendar management
  • Knowledge of QuickBooks or bookkeeping experience is a plus
  • Strong time management skills with the ability to prioritize tasks efficiently
  • Previous clerical or administrative experience in a medical or dental reception setting is advantageous
  • Personal assistant experience or medical receptionist background is beneficial but not required
