About Us
TQS Mechanical is a HVAC and Refrigeration contractor specializing in supermarket refrigeration and commercial HVAC systems.
We started in NY/NJ, expanded into MA and FL, and are now entering TX. As we continue to grow, we are looking for a reliable team member to handle our project costs and overall office administration.

Job Summary
We are seeking a Project & Office Coordinator to join our team.
Your main focus will be tracking project costs and handling office operations and invoicing.
This role is ideal for a detail-oriented individual looking to build a career in the HVAC-R industry.
You will be working closely with our management team to ensure all projects are financially tracked and documented correctly.
Prior experience in the HVAC-R is a plus, but we are fully prepared to train you on the technical aspects of HVAC-R.
For the right candidate, this is a path to grow into a HVAC-R Project Manager or Office Operations role.

Responsibilities
  • Cost Tracking & Invoicing: Recording project expenses and ensuring all invoices are issued accurately and on time.
  • Project Documentation: Organize and maintain project-related files(Proposals, Blueprints, Invoices, RFIs) and generate clear reports for the management team.
  • Operational Support: Help the Office and Project Managers stay on top of daily tasks and regional project data.
  • Site Coordination: While based in the office, you should be open to traveling or driving to project sites occasionally to assist with on-site documentation or coordination.
Qualifications
  • High Attention to Detail: Meticulous with numbers and invoicing accuracy.
  • Proficiency in MS Office: Proficiency in MS Office(Excel) and quick at learning new software.
  • Mobility: Valid Drivers License with a clean record. We need someone flexible and open to occasional travel to support our various project locations.
  • Punctuality & Reliability: Ability to meet deadlines and maintain a consistent schedule.
Preferred
  • Prior experience in the HVAC-R or any other trade
  • Experience with any accounting or project management tools.
