The Program Support Supervisor 1 will practice and follow the Family Educational Rights and Privacy Act (FERPA) at all times. The person in this position will have frequent contact with prospective students, parents, staff, faculty, and the general public as well as exercise judgment in resolving complex registration and student data issues.<ul style="margin-bottom: 3pt"><li>Oversee and coordinate student registration by entering appropriate coding and biographical data. Verify courses are correct ones requested.</li><li>Ensure all mail-in registrations are processed correctly and on the same-day received.</li><li>Analyze and resolve complex registration/cashier problems that arise with YVC staff. Make sure corrections are done properly.</li><li>Monitor the transaction log for errors and ensuring compliance with 10th day enrollment on a weekly basis.</li><li>Answer questions received by phone or in person related to the functions of the Registration & Records office as well as college policies. Refer individuals to appropriate departments.</li><li>As errors in enrollment are found, work with staff to ensure understanding of appropriate procedures in order to reduce errors.</li><li>Coordinate with the Business Office to verify codes and fees are accurate.</li><li>Coordinate with the Business Office and SBCTC to obtain tuition fees each year. Update website with new tuition rates.</li><li>Research duplicate records in ctcLink with SBCTC via Solar Winds ticket. This includes (a) determining which record is the good record, (b) identifying all the information on the bad record.</li><li>Address all SID changes as needed.</li><li>Prepare weekly FTE Quarter Comp report and distribute to appropriate staff in the absence of the Registrar up until census date.</li><li>Process all grades and process all requests for academic renewal.</li><li>Update, print, and distribute the Important Dates calendar each quarter, in accordance with proper deadlines.</li><li>Ensure departmental compliance with the Family Educational Rights and Privacy Act (FERPA) at all times.</li><li>Monitor the college's release of directory information.</li><li>Attend and contribute working knowledge to various staff and interdepartmental meetings as needed or requested.</li><li>Assist with registration of students for New Student Orientation (NSO) as well as provide assistance on NSO days.</li><li>Process Career and Technical Education (CTE) dual credit via the Statewide Enrollment and Reporting System.</li><li>Help with Manual Conversion records.</li><li>Help with CTE Dual credit admission, transcription to YVC.</li></ul><p><strong><u>Supervision:</u></strong></p><ul style="margin-bottom: 3pt"><li>Directly supervise Registration staff on a daily basis, including planning, assigning, prioritizing, and evaluating work to ensure operational efficiency.</li><li>Advise students, staff, program participants and/or the public regarding policies and activities and where appropriate recommend alternative course of action.</li><li>Maintain the Registration Department Job Duties list. Coordinate with the Registrar for Enrollment Services to ensure the staff is cross trained and all staff have a fully trained back-up.</li><li>Serve as lead Data Entry Operator and ensure all registrations are processed correctly and according to State Board guidelines.</li><li>Train part-time staff and other college staff, as needed, ensuring consistent application of policies and procedures.</li><li>Provide supervision of work-study students including assigning and checking work, scheduling, submitting payroll paperwork, and approve TLR.</li><li>Provide input and feedback on employee performance evaluations in collaboration with the Registrar.</li><li>Responsible for resolving registration/cashiering problems that arise.</li><li>Assign delayed payments to students as outlined in the Delayed Payment Plan schedule.</li><li>Maintain front counter coverage, work with staff to make sure it is covered.</li><li>Assist Registrar in maintaining staff schedules, lunches, summer schedules.</li><li>In the event that the Registrar is absent, assist in maintaining daily workflow for Admissions, Registration, and Outreach staff member, referring to appropriate leadership</li></ul><p><strong><u>General:</u></strong></p><ul style="margin-bottom: 3pt"><li>Assist with other departmental activities necessary to assure student success.</li><li>Conduct all manners of communication with students/staff in a professional, friendly and caring manner.</li><li>Use extreme caution in practicing the student privacy act regulations (FERPA).
