NURSING ADMINISTRATIVE ASSISTANT


Definition

Under the direct supervision of the Lead Nurse, the incumbent performs a variety of clerical and administrative duties necessary to support the activities of the nursing office. Duties include, but are not limited to, answering and forwarding incoming calls as appropriate, responding to requests for information, maintaining and updating student and staff records, and ensuring the completion of necessary paperwork such as sign-in and sign-out procedures

This position is classified as non-exempt and, in accordance with the Federal regulations, is eligible for overtime pay for hours worked in excess of forty (40) hours per week. Note: Overtime must be pre-approved, and time off from work, either paid or unpaid, is not considered in determining hours worked in a week.

Other Performance Measures

Successful performance on the job requires following safety guidelines and policies to reduce accidents or injury to self or students, school dress standards, proper attendance and leave policies, and compliance with other policies set forth in the Employee Handbook. Creativity, initiative, and effective problem-solving are also important to the success of the incumbent.

Examples of Essential Functions

  • Answer the telephone and route calls to recipients or take messages as appropriate
  • Operate a variety of assignment-specific computer applications such as email, PowerPoint, etc.
  • Helps students by responding to phone and email requests; obtaining needed services from nurses (responding to the location of the emergency/incident)
  • Send and receive fax communication from providers and inform nurses that the paperwork has been received
  • Update staff training spreadsheet as needed
  • Prepare documents needed for training (sign-in sheets, quizzes, checklists)
  • Submit work orders and IT requests
  • Maintain student confidence and protect school operations by keeping information
    confidential.
  • Deliver request letters to teachers as needed (refills, med expiration, order expiration, etc.)
  • Upload documents into the nursing software
  • Maintain a professional relationship with parents, reporting any retrieved phone messages regarding parent concerns immediately to the appropriate nurse.
  • Maintain a professional relationship with all staff members.
  • Most tasks require oral communication, visual and hearing perception, and the ability to get around the classrooms, cafeteria, gym, campus, etc.
  • The ability to keep up with running children and or to lift or assist with lifting students is essential.
  • Contribute to the overall mission of the school through volunteer activities.
  • Clearly communicate the mission of the school to the outside community.
  • Other duties as assigned.


Required Qualifications:

  • Knowledge of modern office practices, procedures, and equipment.
  • Ability to operate a computer workstation, its peripheral devices, and a variety of software applications, as well as a variety of other office equipment, including Microsoft Office, a calculator, and a copier.
  • Ability to read, interpret, apply, and explain rules, regulations, policies, and procedures.
  • Ability to work independently with little direction.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to work as a team to accomplish goals.
  • Ability to meet schedules and timelines.
  • Ability to work with individuals and small groups of children with intellectual and developmental disabilities.
  • Ability to prepare and maintain required program records.
  • Successful completion of the required training courses within a specified period of time.
  • Tuberculosis screening to ensure no significant risk to the health and safety of others.
  • Successfully passing a criminal background investigation and pre-employment, and random drug screenings.


Minimum Acceptable Education and Experience
:

High school diploma or GED certificate; prior school site office experience is desirable.

Desired Educational/Professional Requirements or Experience

Either completing:

  • an Associate’s Degree program; or
  • completing 60 college credit hours; or
  • The Para Pro assessment test is administered by the Educational Training Service (ETS); and
  • Previous paid experience working with children with intellectual disabilities.
  • Experience in a medical setting/work environment (familiarity with medical terminology and processes) or medical certification (e.g., CNA, RMA, CCMA)

- 7:50 AM to 3:10 PM – Wednesday

7:50 AM to 4:00 PM – Monday, Tuesday, Thursday, Friday
