HR Data & Compliance Specialist Location: Remote Compensation: $75,000– $85,000 annually plus annual bonus About the Role The HR Data & Compliance Specialist owns the day-to-day execution of employment, benefits, and data compliance activities. This role is highly detail-oriented and operational, focused on maintaining accurate employee data, supporting audits and filings, administering benefits and leave processes, and ensuring HR systems (primarily ADP) are complete, accurate, and audit-ready. This position is ideal for someone who enjoys working with data, spreadsheets, systems, and processes, and who prefers structured, behind-the-scenes work over traditional employee-facing HR responsibilities. This is a remote, individual contributor role that partners closely with HR leadership, payroll, benefits vendors, and external partners. Key Responsibilities HR Systems & Data Management (ADP-Focused) • Own accuracy and maintenance of employee data in ADP, including: • New hires, terminations, job changes, compensation updates • Leave status changes and benefits eligibility tracking • Partner with Payroll to ensure employee data aligns with payroll processing and reporting • Perform regular data audits and reconciliations to ensure system accuracy • Build, maintain, and analyze spreadsheets and reports related to headcount, benefits, compliance, and audits • Serve as a power user for ADP, troubleshooting data issues and coordinating with ADP support as needed Benefits & Retirement Plan Administration • Administer day-to-day benefits operations, including: • Eligibility tracking • Open enrollment support • Life event processing • Data feeds and reconciliations with benefits providers • Coordinate with benefits brokers and retirement plan administrators • Support 401(k) and benefits audits by preparing, reviewing, and validating required data • Ensure benefits documentation and records are complete, accurate, and audit-ready Compliance, Audits & Reporting • Manage execution of required compliance activities and filings, including: • 401(k) audits and annual reporting • Benefits and employment compliance reporting • Data requests related to ACA, ERISA, COBRA, and similar requirements (as applicable) • Maintain compliance calendars and track deadlines • Prepare documentation, respond to auditor requests, and follow up on open items • Double-check information for accuracy prior to submission and flag discrepancies Leave & FMLA Administration (Backup Support) • Serve as backup support for leave administration, including: • FMLA, CFRA, and applicable state leave programs • Tracking leave usage and eligibility • Coordinating documentation and system updates • Ensure leave data is accurately reflected in ADP and benefits systems • Maintain leave records and documentation in compliance with retention requirements Policy Administration & Documentation • Maintain and update HR and compliance policies based on: • Regulatory changes • Approved company updates • Formatting, clarity, and consistency improvements • Coordinate policy updates with HR leadership for review and approval • Track acknowledgments and maintain policy version control • Support compliance training tracking and documentation (e.g., required acknowledgments) Process Improvement & Operational Support • Identify opportunities to improve data accuracy, reporting efficiency, and compliance processes • Create and maintain documentation for HR operational processes • Support ad hoc compliance and data requests from HR leadership • Ensure HR records and documentation are consistently audit-ready Qualifications Required • 3–6 years of experience in HR operations, compliance, or HR systems administration • Strong experience working in ADP (Workforce Now or similar) • Experience administering benefits and working with payroll and external vendors • High level of comfort working with spreadsheets, data reconciliation, and reporting • Exceptional attention to detail and follow-through • Ability to manage deadlines and handle confidential information appropriately • Comfortable working independently in a remote environment Preferred Qualifications • Experience supporting audits (401k, benefits, or employment compliance) • Familiarity with leave administration (FMLA, CFRA, state programs) • Experience in a multi-state or growing organization • Background in analytics, operations, or a data-driven discipline (e.g., business, psychology, economics, systems, or similar) Note: A traditional HR background or “people-facing” experience is not required for this role.
