On-site | Full-Time | Monday–Friday | 8:00am to 5:00pm

We are looking for a reliable, organized, and customer-oriented Front Desk / Administrative Assistant to manage daily office operations, client service, scheduling, billing support, and executive assistance.

This role is ideal for someone who enjoys multitasking, working with people, and keeping office operations running smoothly.

Key Responsibilities

  • Answer and log all incoming and outgoing phone calls.
  • Greet and assist clients upon arrival.
  • Provide welcome forms and offer refreshments.
  • Maintain the conference room clean, organized, and ready at all times.
  • Manage and confirm the CEO’s weekly appointment schedule.
  • Reconfirm appointments and payment status 24 hours in advance.
  • Coordinate with Treasury for pending payments and collections.
  • Reschedule appointments and follow up on cancellations.
  • Receive and manage correspondence and packages.
  • Process client accounting documentation and forward to Accounting.
  • Assist Payroll with mailing tax documents (W-2, 1099, 941, 940, etc.).
  • Send monthly accounting reminders to clients.
  • Maintain updated client databases.
  • Prepare holiday closure notifications.
  • Prepare welcome packages for new clients.
  • Handle appointment payments, collections calls, and monthly invoicing.
  • Prepare daily coffee service and maintain office organization.
  • Ensure phones, computers, and internet are operational.

Qualifications

  • Bilingual (English-Spanish) a MUST.
  • Bachelor’s Degree is mandatory for this position.
  • Minimum 1 year of Front Desk or Administrative experience in a formal corporate office environment (NOT retail, NOT call centers).
  • Previous experience in Front Desk, Administrative Assistant, or Office Support.
  • Strong communication and customer service skills.
  • Highly organized with strong attention to detail.
  • Comfortable handling billing, payments, and collections.
  • Ability to multitask and work under pressure.
  • Proficient in Microsoft Office and office systems.
  • Professional, responsible, and proactive attitude.

Pay: From $18.00 per hour

Expected hours: No more than 40.0 per week
