Description: Established in 1972, the National Council on Problem Gambling is the only national nonprofit organization that seeks to minimize the economic and social costs associated with gambling addiction. NCPG is neutral on legalized gambling. www.ncpgambling.org The Executive Administrative & Board Governance Associate provides essential administrative, operational, and governance support to the Executive Director and the Board of Directors of the National Council on Problem Gambling (NCPG). This position plays a critical role in ensuring effective board operations, strong governance practices, and smooth executive support within a national 501(c)(3) nonprofit organization. The position is fully remote. The Associate serves as a key partner in coordinating board and committee activities, maintaining governance records, supporting compliance and documentation, and assisting with executive-level administration. The ideal candidate is highly organized, detail-oriented, discreet, and experienced in nonprofit or association environments. Executive Administrative Support (30%) • Provide administrative support to the Executive Director, including calendar coordination, meeting preparation, travel arrangements, and expense reimbursements. • Draft, edit, and proofread correspondence, reports, presentations, and briefing materials for executive and board use. • Coordinate complex scheduling with board leadership, staff, and external stakeholders, ensuring alignment with organizational priorities. • Serve as a professional liaison between the Executive Director and board members, partners, and external contacts, maintaining confidentiality and professionalism. Board Governance & Volunteer Leadership Support (30%) • Coordinate logistics and administration for meetings of the Board of Directors, Executive Committee, and standing committees, including scheduling, agendas, materials, and follow-up. • Prepare and distribute board packets and governance materials in accordance with bylaws, policies, and best practices. • Draft, record, and distribute accurate meeting minutes; track decisions and follow up on action items. Develop a dashboard of all action items. • Maintain official governance records, including bylaws, policies, committee charters, resolutions, and historical documentation. • Track board and committee rosters, terms, appointments, elections, and leadership transitions. • Support board onboarding, orientation, and governance training activities. Governance Compliance & Documentation (10%) • Assist in ensuring adherence to nonprofit governance best practices and regulatory requirements. • Support preparation and organization of governance-related filings, reports, and disclosures. • Maintain strict confidentiality of sensitive organizational, legal, and board-related information. Meetings, Logistics & Operations (20%) • Support in-person, virtual, and hybrid meetings, including technology coordination and logistics. • Supports the NCPG annual conference. • Assist with board and leadership travel coordination and reimbursement processing in accordance with policy. • Order materials, supplies, or recognition items related to board and governance activities as needed. Administrative Operations & Process Improvement- (10%) • Develop and maintain administrative and governance templates, calendars, and workflows to improve efficiency and consistency. • Organize and manage electronic files, databases, and document repositories with strong attention to version control and accessibility. • Support special projects and cross-functional initiatives as assigned by the Executive Director. Requirements: • Bachelor’s degree in business administration, public administration, communications, or a related field preferred; equivalent experience considered. • 5+ years of experience in executive administrative support, board support, or nonprofit/association operations. • Familiarity with nonprofit governance structures, board operations, and volunteer leadership. • Strong organizational skills with exceptional attention to detail and accuracy. • Excellent written and verbal communication skills, including professional correspondence and minute-taking. • Exceptional internal and external customer service skills and attention to detail • High level of discretion, integrity, and professionalism. • Proficiency in arenaflex Office 365 and virtual meeting platforms; comfortable learning new systems. • Ability to manage multiple priorities and deadlines in a fast-paced, mission-driven environment. • Ability to travel for annual meeting and board of directors meeting 2 x annually for a period of five to seven days. Salary Range $75,000-$85,000 per year plus an excellent benefits package including paid vacation, personal and sick time, thirteen company-paid holidays, life, short and long-term disability coverage, a retirement plan with matching contributions, and health insurance with 100% employer-paid premiums for employees.
