Events Office Administrator (Remote) <strong>Philadelphia, PA (Fully Remote)</strong><p><br></p><p> <strong>Department:</strong> Gifts & Planned Giving – Philadelphia Campus</p><p> <strong>Duration:</strong> March 1, 2026 – June 1, 2026</p><p> <strong>Schedule:</strong> Up to 20 hours/week | 4 days/week | 9:00 AM – 5:00 PM EST </p><p><strong>Pay Rate</strong>: $15 to $22/hr on W2</p><p><br></p>Position Summary<p>We are seeking a <strong>detail-oriented and highly organized Events Office Administrator</strong> to provide advanced administrative and data management support for the Gifts & Planned Giving team. This fully remote role supports executive-level event preparation, donor communications, scheduling coordination, and database management.</p><p>The ideal candidate thrives in a fast-paced environment, demonstrates exceptional discretion with confidential donor information, and has strong data entry and organizational skills.</p><p><br></p>Key Responsibilities📋 Administrative Support<ul><li>Triage and route internal/external calls; provide prompt and courteous assistance.</li><li>Schedule and coordinate meetings, interviews, conferences, and committee activities.</li><li>Prepare presentations, reports, letters, memoranda, and related documentation.</li><li>Manage calendars, appointments, and travel arrangements.</li><li>Process travel forms, invoices, check requests, and expense reports.</li><li>Support reception desk coverage and front desk communications (as needed).</li><li>Assist with new hire onboarding and timekeeping processes.</li></ul><p><br></p>🎉 Event & Donor Support<ul><li>Support large-scale event preparation through timely and accurate data entry.</li><li>Communicate with donors via phone as required.</li><li>Assist with registration tables, name tag creation, and on-site event logistics (if needed).</li><li>Maintain donor confidentiality at all times.</li></ul><p><br></p>💻 Data & Systems Management<ul><li>Utilize <strong>Raiser’s Edge (RE)</strong> and/or Salesforce to:</li><li>Code gifts and update donor biographical information.</li><li>Enter notes and maintain records.</li><li>Run reports and create exports for spreadsheets.</li><li>Execute mail merges, labels, and envelopes.</li><li>Maintain charts, files, correspondence, and reporting systems.</li><li>Assist staff with basic technical troubleshooting (Word, Excel, Outlook).</li><li>Participate in cross-training initiatives for collaborative team support.</li></ul><p><br></p>📦 Office Operations<ul><li>Oversee and order office supplies.</li><li>File, fax, shred, and manage physical/digital records.</li><li>Support internal systems and reporting improvements.</li></ul><p><br></p>Required Qualifications<ul><li>High School Diploma or GED required (associate’s degree preferred).</li><li>Strong data entry accuracy and timeliness.</li><li>Excellent written and verbal communication skills.</li><li>Ability to manage multiple deadlines in a fast-paced environment.</li><li>High level of discretion with confidential donor information.</li><li>Strong organizational and interpersonal skills.</li><li>Proficiency in Microsoft Office (Word, Excel, Outlook).</li><li>Customer-focused mindset with strong collaboration skills.</li></ul><p><br></p>
