GENERAL SUMMARY:

The Administrative Assistant is our first impression for both guest and incoming callers. Customer service and presentation is of utmost importance. The Administrative Assistant providers high-level administrative support to company executives by coordinating details for leadership meetings, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings.

ESSENTIAL JOB FUNCTIONS:

  • Answers central telephone system and directs calls accordingly in a professional manner
  • Maintains and distributes contact list company-wide to leadership team members
  • Manages the Anniversary and Birthday program company-wide
  • Assembles and ships out company binders/training binders/90-dayshifts
  • Maintains local storage unit and purging 
  • Handles companywide onboarding and offboarding requestion 
  • Creation of email signature blocks and business cards 
  • Maintains SharePoint 
  • Formats all policies and forms to company standards 
  • Coordinates meetings, hotel rooms and meals 
  • Post open positions within the company 
  • Responses to recruitment, internship, and volunteer inquires
  • Updating leadership team members on company web sites
  • Sending associate celebrations to Social Media team
  • Audit of CC/ACH accounts and enrollments
  • Reviewing AR Collections- status and follow up, managing TSI Collections
  • Maintains companywide Auto Insurance and Vehicles
  • Completion of credit applications
  • Auditing of companywide cellular plans 
  • Managing communityl icense renewals
  • COI requests
  • Sunbiz annual registrations
  • Verifying community checkbook usage
  • Set up of monthly checkbook compilation
  • Maintain scompanywide credit card accounts
  • Serves as a Notary 
  • Contribute to team effort by accomplishing related results as needed

KNOWLEDGE, SKILLS AND ABILITIES:

  • High level knowledge of computers and relevant software to include Microsoft Office, Outlook and Adobe 
  • Able to communicate effectively with all levels of management, team members, residents, family members, guests, vendors, referral sources, and outside contacts
  • Ability to handle multiple tasks while maintaining composure and professionalism 
  • Neat, professional, courteous manner and appearance

EDUCATION REQUIREMENTS:

  • High School Diploma or equivalent
  • Associates Degree preferred

EXPERIENCE REQUIREMENTS:

  • At least two (2) years’ experience in an Administrative Assistant role 
  • Prior experience with receiving directives from several executive team members highly preferred
