 How you'll contribute 

An Administrative Assistant who excels in this role will:

  • Providing high-level administrative support to the VP/Chief Nursing Officer and/or VP/Chief Financial Officer, including calendar management, meeting coordination, correspondence, and travel arrangements.
  • Managing all clerical operations for Nursing Administration, preparing professional documents such as meeting minutes, policies and procedures, position postings, and departmental communications.
  • Maintaining accurate and confidential records, including payroll processing, timekeeping systems, personnel documentation, and Protected Health Information (PHI) in compliance with regulatory standards.
  • Coordinating and documenting meetings, including agenda preparation, material distribution, presentation development, and follow-up tracking.
  • Serving as a key liaison between Nursing Administration, hospital departments, medical staff, and external partners to ensure seamless communication and workflow.
  • Processing financial and administrative documentation, including check requests and expense reports, ensuring accuracy and timely approval.
  • Supporting departmental operations and efficiency, including office supply management, mail distribution, software oversight, and providing backup support to senior leadership as needed.

 

 

Schedule: Full-Time, Days

What we're looking for

  • Education: High school diploma or equivalent; additional coursework in office or healthcare administration is a plus.

  • Experience: Minimum three years of clerical or administrative experience, preferably in healthcare or executive support.

  • Organizational skills: Ability to manage multiple priorities and meet deadlines efficiently.

  • Communication: Excellent verbal and written skills; professional and courteous demeanor.

  • Technical skills: Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and ability to learn new software quickly.

  • Confidentiality: Ability to handle sensitive information with discretion and maintain accurate records.

  • Professional attributes: Flexible, reliable, and a team player capable of supporting multiple leaders in a fast-paced environment.
